Spotlight Power User Moves for Faster Mac Work
Spotlight is more than a file search box. Opened with Command-Space, it can launch apps, do math, convert units and currencies, and jump straight to specific files. Once you learn its query syntax, you can keep your hands on the keyboard for most daily work.
What you need
- A Mac running a recent version of macOS (Ventura or newer recommended)
- Command-Space as your Spotlight shortcut (the default)
- Optional: System Settings access to tune which categories Spotlight indexes
Step by step
- Press Command-Space and type a few letters of an app name, then hit Return to launch it. Type just enough characters to disambiguate; two or three is usually enough.
- Do inline math by typing an expression like
128*47or(2400-380)/12. Spotlight shows the result in the preview pane; press Command-C to copy it. - Convert units directly in the query:
90 kg to lbs,35 c to f,22 km to miles. Currency works too, such as250 usd to eur, using recent exchange rates. - Search by file kind with keywords:
kind:pdf invoicefinds PDFs mentioning invoice, whilekind:folder budgetnarrows to folders. Combine terms freely. - Search by date:
date:today report, date:this week screenshots, or a specific day likedate:2026-08-20. This pairs well with kind filters. - Restrict a search to a folder by typing part of the path: type
~/Documentsthen space, then your term, or usein:with a folder name in Finder-based searches. - Use the arrow keys to move through results and Command-1 through Command-9 to pick a result directly. Hold Command to see the full path of a selected file in the preview.
- Press Command-R on a selected result to reveal it in Finder, or drag a result out of Spotlight into another app, an email, or the Desktop.
- If results are stale or wrong, rebuild the index later via System Settings, Siri and Spotlight, Spotlight Privacy, but first try simply quitting and relaunching apps whose files are missing.
Common mistakes
- Typing full words when three letters would match the same app faster.
- Ignoring
kind:anddate:filters, then scrolling dozens of irrelevant hits. - Forgetting that Spotlight skips some system locations; use Finder search with "Macintosh" scope for those cases.
